2. Website visitors

• Data processed: transaction security information (IP address, browser and device information, date and time of visit, access logs); with your consent, usage data and online identifiers.

• Purposes: keeping the website secure and running, resolving technical issues, preventing misuse; with your consent, reviewing visit statistics.

• Legal grounds: legitimate interests for security data (Art. 5/2-f); explicit consent for analytics cookies (Art. 5/1).

• Method of collection: automatically, through cookies and similar technologies. Details: Cookie Policy.

3. People who contact us and prospective clients

• Data processed: identity (name), contact (work e-mail and, if you share it, telephone), request and correspondence information (company or property name, the business line you are interested in, your message, correspondence history, meeting notes).

• Purposes: responding to your request, understanding your needs, directing the request to the relevant TEX business line and, where needed, TEX Professionals specialists, preparing proposals, conducting pre-contractual discussions.

• Legal grounds: if you write on your own behalf, steps directly related to entering into a contract (Art. 5/2-c); if you write on behalf of a company or property, our legitimate interest in responding to requests (Art. 5/2-f).

• Method of collection: the contact form on this website, e-mail, telephone, KEP, meetings and trade fairs; partly by automated means (form) and partly by non-automated means.

4. Representatives and employees of our clients, business partners and suppliers

• Data processed: identity, contact, title and position, signature, contract and correspondence content, invoicing and payment details (including bank account details).

• Purposes: entering into and performing contracts, service and project management, invoicing, accounting and finance processes, managing the business relationship, complying with legal obligations.

• Legal grounds: conclusion and performance of a contract where you are a party to it (Art. 5/2-c); our legitimate interest in managing the business relationship where you act on behalf of your organisation (Art. 5/2-f); and legal obligation (Art. 5/2-ç) and the establishment, exercise or protection of a right (Art. 5/2-e).

• Method of collection: contracts, e-mail, KEP, meetings and your employer, by non-automated means.

5. People who use our travel, event and other services

For travel, event and organisation services that TEX Group provides directly as the data controller:

• Data processed: identity (name, date of birth, nationality, passport or ID details), contact, travel and accommodation details (flight, transfer, room and attendance details), invoicing and payment details, photos and videos taken during the service; health information (allergies, dietary needs, accessibility needs) only if you share it and the service requires it.

• Purposes: bookings and registrations, providing transport, accommodation and event services, supporting visa and travel procedures, looking after your safety and health, invoicing and legal obligations; and, with your consent, using photos and videos for promotion.

• Legal grounds: conclusion and performance of a contract (Art. 5/2-c), legal obligation (Art. 5/2-ç), legitimate interests (Art. 5/2-f). Special categories of data (such as health information, or religious belief that may be inferred from dietary preferences) are processed under KVKK Art. 6 only with your explicit consent or under the other conditions set out in the law. Use of images for promotion also depends on your explicit consent. We ask for explicit consent separately from this notice; not giving it does not affect your use of the service, and you can withdraw it at any time.

• Method of collection: registration and booking forms, contracts, e-mail, telephone and during the service; data may also be obtained through the organisation that registered you.

6. TEX Professionals specialists and freelance partners

• Data processed: identity, contact, CV and professional experience, references, contract and payment details.

• Purposes: building the specialist network, matching the right specialist to projects, contract and payment processes; with your explicit consent, presenting your name and experience on the website or in proposals.

• Legal grounds: conclusion and performance of a contract (Art. 5/2-c), legal obligation (Art. 5/2-ç), legitimate interests (Art. 5/2-f); for promotion, explicit consent requested separately (Art. 5/1).

• Method of collection: e-mail, CVs, contracts, professional networks and people who refer you, by non-automated means.

7. Data we process on behalf of other businesses

In the channel management and digital distribution services we provide to hotels and other businesses, and in other services where our contract defines us as a processor, we process guest and employee data on behalf of and under the instructions of the business concerned, as a processor. That business is the controller of the data; its own notices and procedures apply. If you send your request to us, we forward it to the business without delay.

8. Recipients and purposes of transfer

Limited to the purposes above and in line with Articles 8 and 9 of the KVKK, your personal data may be transferred to:

• TEX Professionals specialists: to assess requests and carry out projects, under a duty of confidentiality and a data processing agreement,

• Our service providers: website hosting and form infrastructure (Framer B.V.), corporate e-mail, document and spreadsheet infrastructure, tag management, fonts and, with your consent, visit statistics (Google), request and task tracking (Asana, Inc.), and the people and firms that provide us with accounting, financial advisory and legal services,

• Business partners needed to provide the service: hotels, airlines and transfer companies, event venues, insurers and, for visa procedures, the relevant consulates; only with the information the service requires,

• Banks and payment institutions: for payments and collections,

• Authorised public authorities: courts, enforcement offices, tax offices, the Ministry of Culture and Tourism, the Personal Data Protection Authority and law enforcement; where required by law.

9. International transfers

Because some of our service providers keep their servers outside Türkiye (in the European Union and the United States), and because travel services may involve business partners abroad, your personal data may be transferred abroad. Under Article 9 of the KVKK, such transfers are made to countries with an adequacy decision on that basis; to other countries with appropriate safeguards such as the standard contracts established by the Turkish Personal Data Protection Board; and, in exceptional cases where these cannot be provided, only if the transfer is occasional (non-regular, one-off) and meets the conditions in KVKK Art. 9/6 (for example, where it is necessary to perform a contract with you).

10. Retention

We keep your personal data for as long as the purpose of processing requires and the law prescribes, and then destroy it by deletion, destruction or anonymisation. Periods by data group are set out in our Data Retention Policy.

11. Your rights

Under Article 11 of the KVKK, you have the right to apply to TEX Group to:

• Learn whether your personal data is processed,

• Request information if it is,

• Learn the purpose of processing and whether it is used accordingly,

• Know the third parties in Türkiye or abroad to whom it is transferred,

• Request correction if it is incomplete or inaccurate,

• Request deletion or destruction under the conditions of Article 7 of the KVKK,

• Request that these actions be notified to the third parties to whom the data was transferred,

• Object to a result against you arising from an analysis made solely by automated systems,

• Claim compensation for damage caused by unlawful processing.
